When I’m taking an independent airport transfer I usually book 7 days in advance, no more and no less! Differentl locations have different booking rules and timelines but I find that tends to be the sweet spot between being too earl to confirm, or too late to be accepted.
Although if I have booked with a tour operator or a package holiday I tend to ask for one as soon as my booking has been confirmed so I know it is taken care of.

It really depends where I am going, but I tend to look on the airport’s own website as they usually have companies listed somewhere.
I feel like I’m more likely to find a company that can park close to the terminal etc if I find them on their own website. I’ve been burned before, having to haul luggage 15 minutes along the road out of an airport before by trusting a quick google, so try to stick to the affiliated taxi firms now!
